1. Understand the legal obligation of time recording
Since Royal Decree-Law 8/2019, all companies —without exception— must guarantee a daily time recording of their workers' workday. This record must:
- Mark the start and end time of the workday.
- Include breaks, if applicable.
- Be kept for at least 4 years.
- Be available to the Labor Inspectorate and to workers.
Timenet meets all these requirements and facilitates management so that you only have to worry about your business.
2. First step: register your first worker
Once you have the contract ready, it's time to activate it in your Timenet panel:
- Log in to your administrator account.
- Go to the Workers section.
- Click Add worker.
- Enter their basic data (name and ID).
- Assign the type of workday: full, part-time, with shifts, flexibility, etc.
3. Configure the clocking system
Timenet allows you to choose the registration method that best suits your business:
- Mobile application with optional geolocation.
- Clocking in from the browser.
- Physical clocking points with QR codes or tablet.
Just go to Settings → Clocking points and send the link to your workers according to the method you want them to use to register their clocking in.
4. Define calendars and schedules
If this is your first employee, you may only need a simple schedule, but Timenet allows you to:
- Customize each worker's calendar and schedule.
- Record breaks.
- Assign workdays and holidays to calendars.
- Activate warnings when there are errors in the markings.
All this is easily adjusted from the Calendar menu.
5. How it works for the worker
Once activated, the worker only has to:
- Access Timenet using their pin.
- Click Entry.
- Mark Break, if they have one.
- Click Exit when leaving.
The system automatically records their workday and stores it securely.
6. Report generation and legal control
Timenet generates complete and exportable reports that include:
- Total hours worked.
- Overtime.
- Breaks.
- Pending or incomplete days.
These reports are those that any inspection can request and are kept for the mandatory 4 years.
7. Other useful features if you start hiring
As your company grows, Timenet also offers you:
- Holiday and absence management.
- Shift and calendar planning.
- Overtime control.
- Worker control panel.
- Integration with payroll and HR.
It is a tool designed so that, as you hire more people, you don't have to change systems.
8. Conclusion: starting off on the right foot is key
If this is your first hire, Timenet allows you to comply with the law, simplify processes and avoid errors. Setting it up is quick and intuitive, and you have all the tools you need to manage your working day in a transparent and efficient way.
